Doing business with Roper Gulf Regional Council.

Roper Gulf Regional Council is committed to building strong, mutually beneficial partnerships with stakeholders and vendors. We’ve designed a procurement process that facilitates ethical and sustainable business partnerships, transparency, timely payment and risk mitigation. This includes protecting both our suppliers and our own organisation from the effects of cyber-crime, fraud attempts and human error.

What is Eftsure?

Eftsure is a B2B payment protection service, which we also use to streamline and protect our supplier onboarding process. Whether a threat originates from within our organisation, a supplier or a third-party organisation, Eftsure helps protect our supplier base and reduces the risk of payment error, fraud attempts and cyber-crime. Eftsure’s alert system helps us avoid paying fraudsters instead of the correct recipients, lowering your risk of delayed payment.

What is our verification process?

Existing Suppliers – Verification of Existing Details
As part of Roper Gulf Regional Council's transition to Eftsure, some existing suppliers may be invited to verify their current supplier information, even where no changes to bank account details have been requested. This one-time verification process will help ensure Council's supplier records are accurate, complete and independently verified as we implement enhanced payment security measures. Suppliers selected for verification will receive an email invitation from noreply_verifications@ropergulf.nt.gov.au with instructions on how to review and confirm their existing business and banking details. There is no cost to suppliers, and completion of the verification process will help minimise delays to future payments.

New Suppliers
All new suppliers wishing to provide goods or services to Council will be required to complete the Eftsure verification process.
How the Verification Process Works
Step 1 – Supplier Invitation
A Council representative will collect your basic supplier details and initiate a new supplier onboarding request through the secure Eftsure platform.
Step 2 – Receive an Eftsure Onboarding Invitation
You will receive an email invitation from Eftsure containing a secure link to begin the supplier verification process.
To help identify legitimate verification requests, the email will be issued on behalf of Roper Gulf Regional Council from the dedicated email address:
noreply_verifications@ropergulf.nt.gov.au
If you are expecting a verification request and do not receive the email, please check your junk or spam folder before contacting Council for assistance. Only respond to verification emails relating to a current supplier onboarding or supplier update request.
Please note: Council and Eftsure will never ask you to provide internet banking passwords via email or telephone.
Step 3 – Complete the Online Form
Complete the online verification form and provide all requested business and banking information.
•    Follow the secure link included in your onboarding email; or
•    Copy and paste the secure URL from the email into your web browser if you prefer not to click the link directly.
Providing complete and accurate information will help ensure your supplier verification is processed as quickly as possible.
Step 4 – Verify Your Bank Account
You will be prompted to verify your bank account details using one of the following methods:
Secure Online Verification
•    Select your financial institution.
•    Follow the prompts to securely verify your account.
•    Confirm the account to be used for payments.
Phone Verification
•    An Eftsure Verification Analyst will contact you to complete the verification process and confirm your banking details over the phone.
Step 5 – Confirmation
Once successfully verified, your supplier record will be activated, allowing Council to process payments to your nominated bank account.

Existing Suppliers – Updating Your Details Through Eftsure
If you are an existing supplier and need to update your banking details or other supplier information, Council will use the Eftsure verification process to independently verify the changes before they are applied to your supplier record. This helps protect both suppliers and Council from payment fraud and ensures payments continue to be made to the correct bank account.
Step 1 – Notify Council
Contact Roper Gulf Regional Council and advise the details that require updating, such as:
•    Bank account name
•    BSB or account number
•    Business name
•    ABN
•    Contact details
•    Email address
•    Business address
Council will review the request and initiate the verification process.
Step 2 – Receive an Eftsure Verification Email
You will receive an email invitation from Eftsure containing a secure link to verify the requested changes.
The email will be issued on behalf of Roper Gulf Regional Council from:
noreply_verifications@ropergulf.nt.gov.au
If you do not receive the email, please check your junk or spam folder before contacting Council.
Step 3 – Open the Verification Request
Click the secure link contained in the email.
If you prefer not to click the link directly, you may copy the secure URL from the email and paste it into your web browser.
Step 4 – Confirm Your Supplier Information
Review the details currently held on your supplier record and update the information that requires changing.
Ensure all information provided is accurate and matches your business records.
Step 5 – Verify Updated Banking Details
If banking details are being changed, you will be prompted to complete bank account verification.
Depending on the verification options available, you may be able to:
•    Verify your account through the secure online bank verification tool; or
•    Complete verification with an Eftsure Verification Analyst over the phone.
Step 6 – Verification Completed
Once the verification process has been successfully completed, your updated supplier details will be validated and activated within Council's financial system.
Council will only use the newly updated supplier details after the verification process has been completed.
Until verification is finalised, payments may be delayed to protect both Council and suppliers from fraudulent or incorrect payment requests.
